Introduction

In this article we are going to see how to manage the folders in Reporting Server. In our earlier articles we have seen how to create and deploy a report to the reporting server. We have seen cases where we need to manage the reports based on the requirement like moving a report to a folder and take a backup. In similar cases, we need to create a folder and manage the folder. This would be covered by us in this tutorial.

Steps

The top most root directory is the Home which we can access using the URL http://<ServerName>/Reports. We will be giving this in our local server as http://localhost/Reports and we can see the interface as shown in the screen below.

Now we have three tasks to cover in this article. First, let us start with creating a folder in the server that can be used to manipulate the reports based on the requirement. To create the server we need to navigate to the home page (http://localhost/Reports) and click on New Folder as shown in the screen below.

Clicking on the New Folder will navigate us to a new admin page where we have the option to enter the Folder Name as shown in the screen below.

Enter the folder name as per the requirement. We will name it as ReportSSRS. There are certain restrictions in the characters that can be used while naming the folder. The name should not contain some of the special characters like (? : @ & = +, $ / * <>). Once we provide a valid name we can see our screen as below.

Now click on OK to create the folder. Before clicking on OK, we need to check if the check box Hide in the List View is checked. If it’s checked then the folder will not be visible in the home page. Clicking on OK will create a folder and it will be listed as shown in the screen below.

A small tool tip !NEW will be shown next to the new folder that we have created as shown in the screen below. This tool tip will be available for 48 hours after creating the folder.

Now this folder can be used to deploy our report based on the needs, such as creating a folder for Business Reports, Management Reports or Custom Reports.

Our second task is to move the folder from one location to other in order to deploy our reports as per the need such as to move a folder of reports from Business Report folder to Management Report folder and vice versa. Let us see the step-by-step process to move a folder from one location to other.

In the detail view of the Home page, we have a list of available folders with a check box option to select the folder in order to do the manipulations. If no folder is selected, the Move button is disabled at the top of the menu as shown in the screen below.

Now select a folder that needs to be moved to some other location. In this sample, we will select the folder which we created (ReportSSRS). Selecting the report will enable the Move button as shown in the screen below.

Now click on Move button. This will navigate to a page where we can see the option to select the root level of the folder in a tree structure as shown in the screen below. Select the appropriate folder to which we need to move the source folder (In this sample we are going to move the ReportSSRS folder to Part3sample folder)

Clicking on OK button will move the ReportSSRS folder to the Part3Sample folder and we can see that by navigating to the Part3Sample folder as shown in the screen below.

Our third task is to delete the folder that has been created. Deleting a folder is quite simple. Let us see the steps to delete the folder which we have created on the Server. First, go to the details view of the path on which the folder is located. In our sample we need to navigate to Home>> Part3Sample and we can see the ReportSSRS folder as shown in the screen above. In order to delete the folder, select the check box next to the folder name as shown in the screen below. This will enable the Delete button on the menu.

Clicking on Delete button will prompt a confirmation dialog as shown in the screen below. To confirm the deletion select OK button.

We can see now the folder is deleted from the path as shown in the screen below.

Conclusion

So in this article we have seen the administration of folders in the SSRS server with the option to create, delete and move the folders based on the requirements.
